Mailchimp Integration

Automatically sync contest entrants to your Mailchimp audience. When someone enters your contest, they're added to your mailing list instantly.

What You'll Need

Before connecting, gather these three things from your Mailchimp account:

API Key

Log into Mailchimp → Account → Extras → API keys → Create new key. Copy the full key (it looks like: xxxxxxxxx-us1).

Server Prefix

This is the part after the dash in your API key. If your key ends in -us1, your server prefix is us1.

Audience ID (List ID)

Go to Audience → Manage Audience → Settings → Audience name and defaults. Copy the Audience ID shown there.

Connecting to Your Promotion

Follow these steps to connect Mailchimp to your Promotion:

Open your Promotion in the HPRS dashboard

Go to the Email Integration section

Click "Connect Mailchimp"

Enter your API key, server prefix, and Audience ID

Select which audience to sync subscribers to

Save your settings

Set it and forget it: You only need to connect Mailchimp once per contest. Your connection is securely stored and will automatically sync new entrants to your selected audience. If you need to change the audience later, simply disconnect and reconnect with the new selection.

What Happens When Someone Enters

When a participant submits their email to your Promotion:

  • They're added to your selected Mailchimp audience
  • They're tagged with your Promotion name (e.g., contest-summer-giveaway)
  • Their source is tracked so you know they came from HPRS
  • If they're already subscribed, their profile is updated (no duplicates)

Note: Due to Mailchimp's spam prevention policies, it may take up to 15 minutes for new subscribers to appear in your audience. This is normal behavior and ensures deliverability.

Automatic Tagging

HPRS automatically tags subscribers so you can segment them later:

Name Fields

First name (FNAME) and last name (LNAME) are stored automatically

Use these tags in Mailchimp to send targeted follow-up emails to contest participants. Filter by the hprs tag to see all subscribers that came through your contests.

Double Opt-in

If your Mailchimp audience has double opt-in enabled, subscribers will receive a confirmation email before being fully added. This is great for GDPR compliance. The setting is controlled in your Mailchimp audience settings, not in HPRS.

Tips for Best Results

  • Create a dedicated audience for contest entrants to keep them organized
  • Set up a welcome automation in Mailchimp to engage new subscribers immediately
  • Use tags to identify which contest each subscriber entered
  • After your Promotion ends, send a follow-up campaign to participants using the contest tag

Troubleshooting

Subscribers not appearing immediately?

This is expected. Due to Mailchimp's spam prevention policies, new subscribers may take up to 15 minutes to appear in your audience. Wait a few minutes and refresh your Mailchimp audience.

Subscribers still missing after 15 minutes?

Check that your API key is correct and hasn't expired. Try disconnecting and reconnecting in HPRS.

Getting a "configuration error"?

Verify your server prefix matches your API key (the part after the dash). Double-check your Audience ID is correct.

Subscribers stuck in pending?

This means double opt-in is enabled. Subscribers need to click the confirmation link in the email Mailchimp sends them.
